We have a fantastic opportunity for an experienced Secretary to join our Poole office. In this role, you will provide high quality and efficient secretarial and administrative support to three Partners and the wider Corporate Services team.

About you:

To succeed in this role, you will be:

  • Educated to GCSE level (or equivalent) minimum, with grades A-C to include English and Maths
  • Ideally educated to A/AS level (or equivalent)
  • Competent in the use of MS Office, Word, Excel and Outlook
  • Self-motivated, efficient, punctual and comfortable working without support
  • Able to demonstrate excellent team work and be able to work effectively within the wider Administration team
  • Able to communicate well at all levels
  • Able to organise a busy workload, with excellent prioritisation skills
  • Reliable, presentable and courteous
  • Full clean driving licence, plus unrestricted access to a car (which must be insured to cover business use and the transport of passengers).

What you’ll be doing:

You will be providing high quality and efficient secretarial and administrative support to three Partners and the Corporate Services team.

This will include:

  • Administration tasks such as managing Partners’ emails, coordinating meetings and travel arrangements and assistance with timesheets and expense claims for Partners
  • Typing of letters, reports and the preparation of PowerPoint slides for presentations and seminars
  • Undertaking mail-merges and gathering new client information
  • Assisting with team administration and monthly activities such as billing and debtor reports, monthly reports, as well as periodic matters such as arranging performance development reviews and Partner annual CPD submissions
  • Assisting with client work such as inputting financial data into tables for reports and distributing and obtaining confidentiality letters
  • Monitoring and co-ordinating Partners’ workflow, ensuring key meetings are arranged and communications are followed up as appropriate
  • Collating billing information from our timesheet recording system and preparing fee notes for authorisation
  • Dealing with incoming and outgoing post
  • General administration duties such as scanning and photocopying
  • Where necessary, working within the Administration Team to provide occasional reception cover or support to other Partners
  • Providing refreshments for clients and visitors.
