Our dynamic and progressive Client Support Team in our Exeter office are looking for an Administrator to join the team. 

About you: 

  • Educated to A level (or equivalent)
  • Applicants should be proactive, efficient, organised and comfortable working both independently and as part of a team
  • Demonstrate the use of initiative and problem-solving skills
  • Have excellent communication skills
  • Have excellent time management skills and the ability to prioritise work
  • Be comfortable handling sensitive information in a discrete and confidential manner
  • Demonstrate strong attention to detail
  • Demonstrate strong IT skills and be proficient with all MS office products
  • Have experience in a professional services environment

What you’ll be doing:

  • Business Support:
    • Providing personal assistance as and when required
    • Support the Partnership in delivering the firm’s 3-year strategy
    • Support in team meetings with minute taking
    • Assist with preparing presentation slides and reports
    • Involvement in marketing support activities
    • Processing expense claims and reconciling statements with the finance team
    • Facilitate travel and accommodation arrangements
    • Co-ordinating diaries and meeting management for staff as and when required
  • Client Engagement and work portfolio management:
    • Drafting letters of engagement and dis-engagement to clients
    • Manage the ‘Know Your Client’ and Anti-Money Laundering clearance processes
    • Maintaining client contact and relationship databases
    • Be the point of contact between managers and clients
    • Control and monitor various logs including those covering assignment reviews
    • Control and monitor the bank confirmation process, generating bank letter authorities using a dedicated platform and liaising with clients and managers throughout the process.
    • Support managers through the HMRC compliance processes, in particular:
      • Filing accounts with Companies House
      • Filing accounts and company tax returns with HMRC
      • Collating correspondence packs and issuing to clients via our on-line portal
      • Managing client review planners
      • Trust Registration service in their responsibilities (ie ensuring portfolio holders are meeting filing deadlines for TRS)
    • Supporting the WIP and billing review processes
