Reporting to the Administration Manager, this is a key role within the Administration team, providing proactive administrative support across all departments.  The role will also require occasional Reception cover as well as assisting other members of the Administration team when required.

About you:

  • Good typing/keyboard skills including audio and copy typing
  • Educated to GCSE level (or equivalent) minimum, with grades A-C/5-9 to include English and Maths
  • Strong IT skills, with experience of using spreadsheets and word processing (Microsoft office) as well as virtual meeting software such as Microsoft Teams, Zoom, Skype etc
  • Applicants should be proactive, efficient, organised and comfortable working with minimal supervision
  • Exceptional team skills and an ability to prioritise work and meet deadlines according to the needs of the business
  • Polite and friendly manner and able to communicate at all levels
  • Reliable, punctual, professional and able to use initiative
  • Strong attention to detail
  • Excellent organisational skills.

What you’ll be doing:

  • Providing administration and secretarial services to all teams within the business on a floating/rotational basis.
  • General administration duties such as scanning, photocopying, sending mail via the client portal and binding documents.
  • Undertaking copy typing and audio typing using Bighand.
  • Providing reception and telephone cover on an ad-hoc basis to cover during busy periods, holidays and as required.
  • Dealing with incoming and outgoing post, as required.
  • Coordinating client books and records.
  • Setting up new clients on the firm’s systems, including checking required documents.
  • Drafting and tracking client letters of engagement.
  • Occasional assistance with preparing presentation slides and reports.
  • Ensuring meeting rooms are prepared for all meetings/presentations
  • Providing refreshments for clients and visitors, including arranging catering where appropriate.
