We are currently recruiting for an Administration Assistant to provide business administrative support to a busy client service team. The ideal candidate will be encouraged to self-develop the role and seek opportunities to enhance the performance of the team and the firm.

This position will be based in our Poole office.

What you’ll be doing:

  • Management of the client engagement process including:
    • Supporting the delivery of services to clients
    • Communicating and liaising with managers
    • Drafting letters of engagement, presentations and proposal documents
    • Supporting the ‘Know Your Client’ process
    • Working with client databases
    • Assisting with anti-money laundering procedures
  • Providing administrative Support:
    • Drafting and processing client bills
    • Assistance with preparing presentation slides and reports
    • Proof-reading documents and preparing for sending
  • Business Support – providing operational support to partners and directors including:
    • Co-ordinating the daily operations of the team and the role the team plays in the wider firm
    • Preparation of briefings for the Client Service Team Partners as and when required
    • Being a point of contact for all staff within the team
    • Maintaining up to date knowledge of the firm’s systems and able to train others in the team as and when required

About you: 

  • Previous business support/and or administration experience in a professional services environment is desirable
  • Previous experience of company secretarial work is preferred but on the job training will be provided
  • Applicants should be proactive, highly effective communicators, who can maintain and develop business relationships with stakeholders from across a variety of levels
  • Applicants should be able to think strategically and with initiative – balancing the needs of the business and its relationship with the wider firm and the needs of the staff
  • Efficient, organised and comfortable working without supervision
  • Able to work collaboratively with various sectors of the business
  • Able to exercise discretion and be trustworthy, approachable, and available for all colleagues
  • Able to demonstrate an excellent knowledge of MS Office word, excel and powerpoint
  • Keen to learn, self-develop and progress the role to suit the needs of the business
